1. Introduction

EBSmartZone ("we", "our", or "us"), operator of ebsmartzone.com, built the VoiceDraftAI Android application (the "App"). This Privacy Policy explains how we collect, use, and protect your information when you use our App.

By using VoiceDraftAI, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms described herein, please do not use the App.

2. Information We Collect

2.1 Voice / Audio Data

The core function of VoiceDraftAI is to convert your spoken voice into professionally drafted emails. To do this, the App captures audio only when you actively press the record button. Audio is never recorded passively or in the background.

Your speech is converted to text on your device, by your device's built-in speech-recognition service. Depending on your device and connectivity, that service may send the audio to your device's speech-recognition provider (for example, Google) to perform the transcription. The audio itself is never sent to our servers, and is never sent to our AI drafting provider.

Only the resulting text transcript is transmitted securely over HTTPS to our server and, from there, to our AI provider for the sole purpose of drafting your email or message. We do not store audio recordings, your data is not used to train AI models, and it is not shared with third parties for marketing or advertising purposes.

2.2 Transcripts and Email Drafts

The text transcripts and the email drafts generated from them are stored locally on your device and are also backed up to our servers, so that your saved drafts and frequently-used recipients are available across sessions and if you reinstall the App. You may delete any transcript or draft at any time within the App — this also removes it from our servers — and deleting your account removes all of these copies.

2.3 Account and Authentication Data

The App uses Google Sign-In (OAuth 2.0) to sign you in. We receive your Google account email address and basic profile, which we use to create and identify your account. We request no Gmail or contacts permissions — the App cannot read, access, or send anything from your Gmail account. When you choose to send a draft, the App opens your device's standard share sheet so that you send it yourself, using the email or messaging app of your choice; the App never sends messages on your behalf.

2.4 Usage and Technical Data

We may collect anonymized, aggregated technical data (such as crash reports and error logs) to improve App stability. This data does not identify you personally.

3. Permissions Required

4. How We Use Your Information

  • To transcribe your speech into text using your device's speech-recognition service.
  • To draft professional emails from your transcribed text using our AI provider.
  • To let you send your draft, upon your explicit action, through the email or messaging app of your choice via your device's share sheet.
  • To maintain your in-app settings (language, signature, email preferences).
  • To manage credit-based subscription billing through Google Play and RevenueCat.
  • To improve App performance and fix technical issues.

We do not sell, trade, or rent your personal information to third parties.

5. Data Retention and Deletion

Voice audio is transcribed to text on your device and is never transmitted to or retained on our servers. Only the resulting text is sent to our AI drafting provider, and it is not retained beyond the time necessary to generate your draft (typically seconds).

Your transcripts, email drafts, and saved recipients are stored on your device and are also backed up to our servers. They remain under your control: you can delete any item within the App, which removes it from both your device and our servers, and deleting your account permanently removes the copies stored on our servers.

6. Third-Party Services

VoiceDraftAI integrates with the following third-party services. Each has its own privacy policy:

  • Google Sign-In — used to sign you in; we request only your email address and basic profile, and no Gmail or contacts access. Your device's Google speech-recognition service may also be used to transcribe your voice to text (Google Privacy Policy).
  • Anthropic Claude API — AI-powered email drafting. Text transcripts (not audio) are sent for processing; Anthropic does not use submitted data to train its models under its standard API terms (Anthropic Privacy Policy).
  • RevenueCat — subscription and in-app purchase management (RevenueCat Privacy Policy).

7. Data Security

All data transmitted between the App and our servers, and between our servers and third-party AI providers, is encrypted using industry-standard TLS/HTTPS. Authentication tokens are stored in the device's secure encrypted storage. We implement reasonable technical and organizational measures to protect your information against unauthorized access, alteration, or disclosure.

8. Children's Privacy

VoiceDraftAI is not directed to children under the age of 13 (or 16 in the European Economic Area). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately and we will take steps to delete such information.

9. Your Rights (GDPR)

If you are located in the European Economic Area (EEA), you have the following rights under the General Data Protection Regulation (GDPR):

  • Right of Access — You may request a copy of the personal data we hold about you.
  • Right to Rectification — You may request correction of inaccurate personal data.
  • Right to Erasure — You may request deletion of your personal data.
  • Right to Restrict Processing — You may request that we limit how we use your data.
  • Right to Data Portability — You may request your data in a structured, machine-readable format.
  • Right to Object — You may object to our processing of your personal data.

10. California Privacy Rights (CalOPPA)

Under the California Online Privacy Protection Act (CalOPPA), California residents have the right to:

  • Know what personal data is being collected.
  • Know whether their personal data is sold or disclosed and to whom.
  • Opt out of the sale of their personal data.
  • Access their personal data.
  • Request deletion of their personal data.
  • Not be discriminated against for exercising their privacy rights.

We do not sell personal data. California residents may submit requests by contacting us as described in Section 11.
